BUSINESS LETTER FORM – ARRANGEMENT AND PUNCTUATION STYLES

We have two main categories regarding the styles of a business letter: 1. Arrangement styles of a business letter 2. Punctuation styles of a business letter

1. ARRANGEMENT STYLES As previously noted, the horizontal placement of letter parts is flexible-within the limits of five basic styles. Often, however, a company will have a preferred arrangement style which employees required to use.

a. Full Blocked All letter parts begin at the left margin. It is therefore the fastest traditional arrangement style to prepare.

b. Blocked

Like Full Blocked, all letter parts begin at the left margin, except the dateline, clomplementary closing, company signature, and writer’s identifications, which start at the horizontal center of the page. (Options – the dateline may end at the right margin; attention and subject lines may be centered or indented five or ten spaces.)

c. Semi Blocked or Modified Blocked

This is the same as a blocked letter with one change: the beginning of each paragraph is indented five or ten spaces.

d. Square Blocked

This is the same as a full-blocked letter with two changes; the date appears on the same line as the start of the inside address and ends at the right margin; reference initials and enclosure reminder appear on the same lines as the signature and signer’s identification. As a result, corners are squared off. This arrangement saves space, allowing longer letters to fit onto a single page. (Be sure to use a line at least 50 spaces long so that the inside address won’t run into the dateline).

e. Simplified or Ams Designed by the Administrative Management Society, this style is the same as fullblocked, except (1) no salutation or complementary closing is used; (2) an entirely 12

capitalized subject line (without the word “subject”) must be used; (3) the signer’s identification is printed in all capitals; and lists are indented five spaces unless numbered or lettered (in which case they are blocked with no periods after the numbers of letters). This style is extremely efficient, requiring much less time to prepare than other styles. However, it is also impersonal. For this reason, the reader’s name should be mentioned at least once in the body.

B. PUNCTUATION STYLE OF A BUSINESS LETTER

There are three punctuation styles of a business letter. 1. Mixed punctuations: In such kind of letter, punctuations are used after salutation and complimentary close. American put a colon (:) after salutation and a coma (,) after complimentary close while other Europeans use coma (,) both after salutation and complimentary close. Other kinds of punctuations can be used throughout the letter.

2. Open Punctuations: A letter with open punctuation is a letter in which no punctuation is used except the main body.

3. Closed Punctuation Style : this style is perhaps the least used and is not recommended for use in modern letter. It places a period after the date and a comma after each line on the inside address except the last line. The same punctuation is used in the signature block.
